Todoist review: Pros and cons in 2024

Todoist was founded in 2007 by entrepreneur Amir Salihefendic to help manage his own tasks while attending college and working multiple programming jobs and side projects. Today, Todoist is one of the most popular productivity management tools on the market with more than 30 million downloads.

In our Todoist review, we evaluate the project management software's features, its values and how it stacks up against its competitors, so you can decide whether it will meet your needs.

Todoist is a cloud-based project management software that helps you meet deadlines by organizing and prioritizing tasks. You can also assign tasks to team members. Todoist's built-in productivity tools, such as the Pomodoro Technique and Eat the Frog, are designed to keep you focused, allowing you to accomplish more.

While Todoist is a solid project management tool, it does have limitations. Here are the pluses and minuses to consider when deciding whether it's the right solution for you.

Todoist pricing and value

Todoist is one of the least expensive project management software on the market, but you sacrifice essential features, like billing and time tracking even on the top-tier plan, by choosing it. Its productivity tools are a nice feature but, unless you plan to use it primarily as a to-do list, are hardly worth the trade-off.

Todoist project management features

As its name implies, Todoist excels at managing tasks. Users can create projects, add tasks or subtasks and assign them to team members, and throughout the day, they can utilize built-in productivity tools, like the Pomodoro Technique, to increase focus and get more done. Todoist also allows users to switch easily between list, calendar and board view for the best perspective on projects and tasks.

However, Todoist lacks essential project management features, like budgeting and time tracking. For this reason, we think Todoist is best suited for freelancers and solopreneurs who want to stay focused.

Todoist AI, automation and integration features

Compared to other project management software, Todoist's extras are underwhelming. It offers less than 100 integrations while top competitors like Asana and Trello offer double that, including popular integrations, like Dropbox and Google Drive, that Todoist does not. Automations in Todoist require using Integrately, Zapier or similar automation tools.

Available with paid plans, Todoist's AI Assistant can provide tips, suggest tasks and break down complex tasks into more manageable pieces. However, you can only access AI Assistant using a web browser or desktop app since it's currently not compatible with iOS or Android. As a result, you won't be able to use AI on the go.

Todoist customer service

Todoist states on its website that it believes users would rather solve problems themselves than wait for an answer. To that end, its Help Center includes a Getting Started guide, Known Issues page, and a library of articles on topics such as teams and integrations. The platform also has a Troubleshooting section dedicated to walking you through common issues.

If you still need help, you can submit screenshots or a screen recording of your issue by creating a ticket using the website contact form. Todoist does not offer phone or email support, nor does it claim to offer 24/7 support.

One of the best-known project management tools, Asana is also one of the most expensive, starting at $13.49 per user per month. Todoist costs $5 per user on its base paid plan. However, Asana gives you much more. Even its Starter plan allows up to 500 people to collaborate on projects compared to five with Todoist.

For those on a budget, Todoist and Asana both have free plans, but Asana offers unlimited projects and tasks. Todoist limits users to five projects.

Todoist vs Trello

Both Todoist and Trello deliver solid project management solutions, but while Todoist excels at keeping freelancers and solopreneurs focused with productivity tools, Trello includes to-dos for onboarding new employees and a drag-and-drop employee manual template. We think this makes Trello the better choice for growing companies.

Trello is also the better value. Its free version comes with up to 10 boards (projects) compared to Todoist's five projects. Additionally, Trello users can access over 200 apps and integrations, double what Todoist offers.

Todoist vs ClickUp

Because ClickUp offers more than 1,000 free integrations, including heavy hitters like Slack and Dropbox, it's a great fit for teams that need a customizable solution with a lot of options. However, for those who don't, ClickUp can be difficult to learn and to navigate.

With under 100 integrations, Todoist works best for those focused on to-do lists and getting a project over the finish line. It's also easy enough to use that most users can quickly pick it up.
